Job Summary

We are seeking a motivated and detail-oriented Junior Property Administrator to join our dynamic property management team. In this role, you will support the daily operations of property portfolios by handling administrative tasks, maintaining accurate records, and assisting with tenant communications. Your energetic approach and organizational skills will contribute to smooth property management processes, ensuring tenants and stakeholders receive exceptional service. Key Responsibilities

  • Providing general property and office administration support to the Property Team.
  • Maintaining accurate property files, trackers, databases and records.
  • Researching vacant properties using CoStar and identifying relevant landlords and agents.
  • Contacting the landlords and agents regarding their potential leasing opportunities.
  • Arranging property inspections and assisting with the preparation of schedules of condition.
  • Coordinating with contractors, building managers and other stakeholders regarding property access and works.
  • Handling routine telephone calls and emails professionally and efficiently.
  • Supporting the charitable use of available properties and spaces.
  • Arranging for charities to make use of our available spaces.
  • Building and maintaining professional relationships with landlords, agents, Councils, contractors, charities and other stakeholders.
  • Supporting the wider Property Team with ongoing tasks and projects.
  • Supporting landlords and agents with property and business rates queries.
  • Drafting and preparing property and legal documentation under supervision, including leases, sub-licences, notices and supporting documents.

This is a junior role, and responsibilities will develop as your knowledge, confidence and experience grow. You will be supported by the wider Property Team and given the opportunity to take on increasingly complex property and business rates matters over time.

Experience

  • Previous office experience or administrative background preferred
  • Strong data entry skills with attention to detail and accuracy
  • Excellent communication skills, both verbal and written, with professional phone etiquette
  • Proven ability to handle multiple tasks efficiently in a fast-paced environment
  • Good understanding of Microsoft Word, Excel and Outlook
