Trainee Pensions & Investments Administrator

We're looking for an organised, capable person to join our administration team as a trainee. This is a first step into financial services — you don't need sector experience, because we'll train you properly. What matters is that you're methodical, careful with detail, and confident picking up the phone.
You'll work closely with our Operations Manager, supporting the advisers with the paperwork and provider legwork behind pension and investment advice. Much of the role is dealing directly with providers such as Aviva, Royal London, Scottish Widows, Aegon and Standard Life — getting the information our advisers need, and chasing it until it arrives.
What you'll be doing
- Calling and emailing pension and investment providers to obtain plan information, valuations, fund details, transfer values and charges
- Submitting Letters of Authority and following up until they're on file
- Chasing outstanding cases — transfers, contributions and new applications — and keeping the adviser updated on progress
- Recording everything accurately on our CRM and case management systems (including Salesforce)
- Keeping Excel trackers and case pipelines up to date
- Preparing meeting packs for client reviews and new business meetings
- Creating and maintaining client files in line with our record-keeping procedures
- Processing correspondence, scanning to the cloud and keeping our filing tidy
- Managing Outlook diaries and confirming appointments with clients
- Drafting straightforward letters and emails from templates
What we're looking for
- A polite, patient telephone manner — provider call queues test both, and you'll often be the first voice a client hears
- Strong attention to detail; pension paperwork rewards it and punishes the opposite
- Comfortable with Outlook, Word and Excel — we'll train you on everything else
- Well organised, able to juggle several open cases and know what's waiting on whom
- Willing to ask questions and learn; a genuine team player
An interest in pensions, investments or financial planning is welcome but not essential.

Pay: £8.00-£12.21 per hour
Expected hours: 18.0 per week
